Rozetka (маркетплейс) integration & automation

Rozetka marketplace orders land in your CRM, statuses and waybill numbers go back on their own

Rozetka is a marketplace: the buyer orders on rozetka.com.ua, and the seller processes the order in the seller cabinet. We connect that cabinet to your CRM. New orders appear in the CRM with the buyer, items and delivery details, the manager works in one window, and the status change and the Nova Poshta waybill number go back to Rozetka. The product list, prices and stock come from your accounting system as an XML price list, which Rozetka reads on its own schedule. What Rozetka does not allow through its documentation, we do not promise.

What we connect

  • You already sell on Rozetka: there is a seller cabinet with an active balance and products on the marketplace. In the cabinet, under Settings, in the security section, you generate an access key and hand it to us. Rozetka lets one manager create several keys, so the integration gets its own.
  • We connect the order flow. Rozetka returns the orders that are still in processing; each new one becomes a deal in your CRM with the buyer, items, chosen carrier and pickup point. The manager sees the marketplace order next to orders from the site and from phone calls.
  • Statuses go back. When the manager moves the deal in the CRM, the same status is set on Rozetka: taken into work, being assembled, handed to the carrier. Rozetka expects the first status within a day, otherwise it marks the order as not processed, so we send the first one right away.
  • The waybill closes the loop. The Nova Poshta waybill number created from the CRM is written into the Rozetka order; after that Rozetka switches the delivery statuses itself by the carrier's data, and nobody retypes the number in the cabinet.
  • Products, prices and stock go the other way. Your accounting system publishes an XML price list at a fixed address; Rozetka reads it and updates prices, availability and quantities on its own schedule. Product and category codes must not change after publishing, so we fix them before the first upload.
  • We test on a few real orders and then switch the flow on fully. The seller cabinet stays available: buyer messages, reviews and refunds are still handled there.

Automation scenarios

01

Morning: new marketplace orders

Before the manager opens the Rozetka cabinet, reads each new order and retypes the buyer, items and pickup point into the CRM, then sets the status in the cabinet.

After the orders are already in the CRM as deals, the manager confirms them there, and Rozetka gets the status without a second window.

02

Shipping day with Nova Poshta

Before the waybill is created in the Nova Poshta cabinet, the number is copied into the Rozetka order by hand, and one typo means the buyer sees no tracking.

After the waybill is created from the deal, its number is written into the Rozetka order, and the delivery statuses then change by the carrier's data.

03

The last unit is sold

Before the item sold out in the shop, but Rozetka still shows it in stock, the order arrives and has to be cancelled as not available.

After the quantity in the accounting system drops to zero, the price list reflects it, and at the next Rozetka update the item is hidden from ordering.

04

Price changed for a whole category

Before the new prices are edited in the Rozetka cabinet line by line, and for a day the site and the marketplace disagree.

After the prices are changed once in the accounting system, the XML price list is rebuilt, and Rozetka picks them up at its next scheduled update.

How it works technically

For those who want to check: each point links to the official documentation page it comes from.

  • The seller help centre describes the API as a tool for integrating the seller's accounting system with the ROZETKA marketplace; data is exchanged over HTTPS with POST and GET requests.

  • Through the API the seller receives orders into their own system and manages them, corresponds with buyers, gets data on their products, manages delivery services, receives reviews and sets up product bundles.

  • For automated product import the seller prepares a price list in XML (YML) format; its address must stay static, and product and category ids must not change after the products are added to the marketplace.

  • With direct integration the seller manages price and availability in their own system, and the information on ROZETKA is updated automatically every hour.

  • After a waybill number is added to an order, Rozetka sets the status automatically and then keeps updating the order status by the carrier's data for that shipment number.

Limits

Rozetka reads the XML price list and refreshes prices, availability and quantities on its own hourly schedule, so a change in your accounting system is not visible on the marketplace instantly. New products are not added by the automatic update: they are created in the seller cabinet or in the price list first. An access key that is not used for more than 24 hours becomes inactive; the integration keeps it alive by working regularly. Product and category ids must not change after publishing, and the price list address must stay the same. Stock control remains the seller's responsibility by Rozetka's rules. Products are available for ordering only while the internal balance in the seller cabinet is topped up. Buyer chat, reviews and refunds are handled in the seller cabinet.

Questions

Do we need anything from Rozetka to start?
Only what you already have as a seller: the seller cabinet with your products and an active balance. The access key is generated by you in the cabinet, under Settings in the security section; nothing is requested from Rozetka support.
How fast do prices and stock change on Rozetka after we change them in accounting?
Not instantly. Rozetka reads the XML price list on its own hourly schedule, as its help centre states, and the time of the last synchronisation is shown in the seller cabinet. The order side is different: orders and statuses are exchanged as they happen.
What happens if the manager does not touch a new order for a day?
By Rozetka's rules an order without a status change within 24 hours is marked as not processed by the seller. That is why the integration sends the first status as soon as the order is taken into the CRM, and the manager sees the deal in the usual pipeline rather than in a separate cabinet.
Can the buyer's messages and reviews also go into the CRM?
Rozetka's documentation lists correspondence with buyers and receiving reviews among what the integration can do, so it is possible as a separate step. In the basic connection we start with orders, statuses, waybills and the price list; messages and reviews are added if you need them.
